aicoo
Terms of Service
These terms are the agreement between you and SysteMind, Inc. for using aicoo. They're written to be read. How we handle personal data is in our Privacy Policy, which is part of this agreement.
Summary
- Your content stays yours. You let us store and process it only to run aicoo for you.
- You're responsible for what you do in aicoo, including what your connected agents do as you.
- aicoo's AI can be wrong. Check its work before you rely on it.
- aicoo Pro is $15 a month or $150 a year; Max is $200 a month or $2,000 a year, with 25,000 credits a month for your own work. Team is $15 a person a month or $150 a year, at least 3 people, paid by the team’s owner. Plans renew until you cancel, and you can cancel any time.
- aicoo is new and changes often. It comes as it is, and our liability is limited as far as the law allows.
1. Agreeing to these terms
aicoo is made by SysteMind, Inc., a Delaware corporation, South Governors Avenue, Suite 39354, Dover, DE 19904, United States (“SysteMind”, “we”, “us”). By signing in to aicoo, or by connecting an agent to it, you agree to these terms. If you use aicoo for an organization, you agree for it too, and confirm you're allowed to.
You must be at least 13, or older where your country's law requires it (16 in some EU countries), to use aicoo.
2. Getting in and your account
- You sign in with your email (we send a one-time code or link), Google or Microsoft. Use an email address you control, and keep access to it safe: whoever can read it can sign in as you.
- Anyone can sign in and use aicoo on the Free plan. A paid plan (yours, or a team’s Team plan that covers you), or an email or school or company domain on our access list gives you more; see Plans and payment. We decide who's on the access list and may change it.
- We no longer offer invite codes. Accounts that used one get aicoo Pro without payment until one month after 29 October 2026, then move to Free unless they choose a plan.
- You're responsible for what happens in your account, including what agents you connect do. Tell us at support@systemind.io if you think someone else is using it.
3. Your content
“Your content” is what you put in aicoo or bring into it: docs, to-dos, chats, meetings, recordings, transcripts, files and imports.
- You own your content. These terms don't give us any ownership of it.
- You give us permission to run aicoo with it: to store, copy, process, transmit and display it, and to send it to the providers in our Privacy Policy (such as the AI providers that produce aicoo's answers), only as needed to provide aicoo to you and the people you share with, to keep it secure, and as the law requires. This permission ends when your content is deleted, apart from copies others already have through sharing and backups that expire on their own.
- When you share with a team or a person, they can see (or edit) it as you chose. What they do with it is up to them.
- You need the right to put it in aicoo, including recordings of other people (where the law requires their consent, get it) and content you import.
- Feedback: if you send us ideas or suggestions, we may use them without owing you anything.
4. Acceptable use
Don't use aicoo, or let an agent use it, to:
- break the law, or infringe anyone's intellectual property, privacy or other rights;
- harass, threaten or deceive people, or send spam through messages, invites or shares;
- upload malware, or anything meant to harm aicoo, its users or other systems;
- get at content, accounts or data that weren't shared with you, including by working around the app's sharing settings or calling its database or API directly;
- test, probe or break aicoo's security without our written permission (if you find a problem, please tell us);
- overload aicoo, get around its rate limits, or scrape it;
- resell aicoo or access to it, or copy it to build a competing product;
- make content that sexually exploits children, promotes violence, or is otherwise illegal.
Use of the AI providers behind aicoo is also subject to their usage policies.
5. Agents and AI
- aicoo, the built-in agent, works on your docs, to-dos, chats and meetings when you ask, and on its own for things like notes, tidy-ups and tasks you schedule. It suggests edits to shared docs rather than making them.
- Your own agents (such as Claude Code, Codex or Cursor) act as you once you approve them: they can read what you can and act on it, and messages they send show “via” the agent. You're responsible for them as for yourself. Disconnect one any time in Connected agents.
- Your own AI keys. If you add your own OpenAI, Anthropic or OpenRouter key, aicoo uses it on your account: that provider's terms and charges apply, and you're responsible for them.
- AI output can be wrong, incomplete or out of date, and it can be similar to output others get. Check it before you rely on it, especially for anything legal, medical, financial or safety-related. It isn't professional advice. As between you and us, you own what aicoo writes for you, to the extent anyone does.
6. Imports and connected services
You can import from Google Docs, Microsoft OneNote, Notion, yourcoo and your computer, and connect SharedNet. Import only content you have the right to copy, and follow the other service's terms. Connections only read; you can remove them any time. What we read and how we treat it is in our Privacy Policy.
7. Plans and payment
Prices are in US dollars, plus any tax that applies, paid in advance through Stripe. Stripe's terms apply to the payment; we never see your card number.
- Pro is for one person: $15 a month, or $150 a year.
- Max is for one person: $200 a month, or $2,000 a year. It comes with 25,000 credits a month and any number of teams, within fair use: Max is for one person, so it isn't for sharing an account, reselling aicoo, or running automated work around the clock. If your use looks like that, we'll contact you before we limit it. Moving from Pro to Max starts Max when it's paid and ends Pro then; what's left of Pro is credited to your next invoices.
- Team is for a team: $15 a seat a month, or $150 a seat a year, with at least 3 seats. (It was called Business, at $12 a person a month or $120 a year; anyone who bought it then keeps that price.) The team's owner buys it and pays for the number of seats they choose, whether or not every seat is taken. People take a seat by opening the plan's invite link or accepting an invitation, which also adds them to the team. The owner and the admins they choose decide who's on it and can take people off, which frees their seat; only the owner changes the number of seats or the billing, and the owner can't be taken off. Changing the number of seats is prorated: on a monthly plan in the next invoice, on a yearly plan charged or credited straight away. The people on it don't pay for it, and stop being covered when they're taken off or the plan ends.
- Free costs nothing: 300 credits a month, meetings recorded for up to 3 hours each, and up to 4 teams you create (teams you're invited to don't count). People who get in through the access list don't pay while that lasts. We may change how people get in, with notice.
- Credits. Each plan comes with a monthly allowance of credits, a measure of how much work aicoo does for you, such as conversations and meetings. The amounts are on our pricing page. Credits reset each month and don't roll over (yearly plans get theirs each month); they have no cash value and can't be sold, transferred or refunded. On Team they're one pool for the people it covers. When a month's are used, aicoo's own models, transcription and pictures wait until they reset or you move up a plan; your content stays open and editable. Work done with your own model key doesn't use them. Top-ups, when we offer them, are bought separately and last as long as we say when you buy them. If we change how credits are counted in a way that gives a plan less, we'll tell you at least 30 days ahead.
- Renewal. A plan renews every month or every year, as you chose, until you cancel. If a payment fails, you keep access for a while as Stripe retries; if it keeps failing, the plan ends.
- Cancelling. In aicoo, open Account and choose Manage billing, which takes you to Stripe to cancel; or write to support@systemind.io. You keep the plan until the end of the month or year you've paid for, and you're not charged again. Your content stays, and your account goes back to Free (or to what an invite code, the access list or a team's Team plan gives you). If you made more teams than Free allows, they stay; you can make new ones once you're under the limit. You can delete your account from Account, or ask us for a copy or to delete it. If the person paying for a team's Team plan deletes their account, the plan runs to the end of what was paid, then ends.
- Refunds. We don't refund part of a month or year, except where the law requires it. If you're charged twice for the same plan, we cancel the second one and refund it. If something else went wrong, write to us and we'll look at it fairly.
- Price changes. We'll tell you at least 30 days ahead, and the new price starts at your next renewal after that. You can cancel before then.
8. Our part
We'll work to keep aicoo running, secure and useful, and to treat your data as our Privacy Policy says. aicoo is new: we change features, add them and sometimes remove them. If we remove something you rely on, or shut aicoo down, we'll give you reasonable notice and a way to get your content out.
aicoo, its software, design and brand belong to SysteMind. These terms let you use aicoo; they don't give you any other rights in it.
9. Third-party services
aicoo works with services we don't run, such as Google, Microsoft, Notion, SharedNet, Stripe, AI providers and the agents you connect. Their terms and privacy policies apply to your use of them, and we aren't responsible for them or for what they do with data you send them through your own connections.
10. Suspending and ending
- You can stop using aicoo any time, and delete your account yourself in aicoo (Account, then Delete my account) or ask us to (see the Privacy Policy).
- We may suspend or end your access if you seriously or repeatedly break these terms, if your use puts others, aicoo or us at risk, or if the law requires it. Where it's reasonable, we'll tell you first and give you a chance to fix it and to get your content out.
- Sections 3 (feedback), 5 (AI output), 11 to 16 and anything else meant to last keep applying after this agreement ends.
11. Disclaimers
aicoo is provided “as is” and “as available”. As far as the law allows, we don't promise that it will be uninterrupted, error-free or secure, that AI output will be accurate, or that it fits your particular purpose, and we disclaim implied warranties such as merchantability, fitness for a particular purpose and non-infringement. Keep your own copies of anything important.
12. Limitation of liability
As far as the law allows:
- neither you nor we are liable for indirect, incidental, special or consequential losses, or for lost profits, revenue or data, even if foreseeable;
- our total liability for all claims about aicoo is limited to the greater of what you paid us for aicoo in the 12 months before the claim, or US $100.
Nothing in these terms limits liability that can't be limited by law, such as for fraud, or for death or personal injury caused by negligence. If you use aicoo as a consumer, you also keep the rights your local law gives you, which these terms don't take away.
13. If your use causes a claim
If you use aicoo for a business, and someone brings a claim against us because of your content or because you or your agents broke these terms or the law, you'll cover our reasonable costs and losses from that claim. We'll tell you about it promptly and let you help handle it.
14. Changes
We may update these terms as aicoo changes. The date at the top says when they last did. For changes that matter, we'll tell you by email or in aicoo at least 30 days before they take effect, unless the change is needed sooner for legal or security reasons. If you keep using aicoo after that, the new terms apply; if you don't agree, stop using aicoo and, if you pay for a plan, cancel it.
15. Governing law and disputes
These terms are governed by the laws of the State of Delaware, United States, without regard to its conflict-of-law rules. Any dispute about aicoo or these terms will be decided in the state or federal courts located in Delaware, and you and we agree to their jurisdiction. Before going to court, please write to us so we can try to sort it out first. If you're a consumer, you can also bring a claim in the courts where you live, and the mandatory consumer protections of your country still apply.
16. General
These terms and the Privacy Policy are the whole agreement between you and us about aicoo. If part of them can't be enforced, the rest still applies. If we don't enforce something right away, we haven't given it up. You can't transfer this agreement without our consent; we may transfer it to a company that takes over aicoo, and it would have to keep these terms. Neither side is responsible for delays caused by events beyond its reasonable control.
